Adding Additional Dates or Rooms to an Event

Once you've booked a hold or event, you may wish to add additional spaces to the dates you've booked, or add additional dates to the event. You may do this in several places:

Should you add dates to this event or create a new one?
If your event has been extended or if you would like to have additional dates on hold, simply add those dates to your existing event. If this is an event on a separate day (such as another game or hold for a game), create a new event. You can group all of those related separate events (such as your sports season) into a Series. Using the Add Event slider on the calendar

  1. On the calendar, select the dates (monthly view) or dates and rooms (grid/day view) you would like to add to the event and click the blue Add Event icon in the lower right corner.
    Note: If you are only adding additional rooms, select the dates of the event which are already booked.
  2. In the Add Dates to drop down, select Existing Event.
  3. In the Event field, search for and select the name of your event.
  4. Click +Add Dates if you haven't already selected your dates or would like to add additional ones. You may add dates prior to or after the existing booking.
  5. If you haven't selected rooms or would like to add additional ones:
    • Click Select Rooms.
    • In the slider, select the rooms you wish to book and click Done. Please note that rooms already booked on the event will not be checked.
  6. Adjust the time or status of your room bookings as needed.
  7. Click Create.
  8. The additional dates and rooms have been added to your event.

Using the Add Event slider on the Events List page or the Event tab of an Account or Contact Overview.

  1. Click the blue plus to open the Add Event slider.
  2. In the Add Dates to drop down, select Existing Event.
  3. In the Event field, search for and select the name of your event.
  4. Click +Add Dates to select dates.
  5. Click Select Rooms.
  6. In the slider, select the rooms you wish to book and click Done.
  7. Adjust the time or status of your room bookings as needed.
  8. Click Create.
  9. The additional dates and rooms have been added to your event.

On the Event Details page

  1. On the Booking > Spaces tab, click the blue plus to open the Book Spaces slider.
  2. Add a description (or the event name). You may also add attendance and room setup if you wish.
  3. Add the date span for which you would like to add bookings. If you are adding a single date, the start and end dates will match.
    Note: If you are adding additional dates or times to the event, you will get a warning that the date is outside the boundary of the event. You will still be able to save the spaces.
  4. Leave All Day selected if you would like to book the room for all day, or uncheck it to add a start and end time.
  5. Select the rooms to be booked.
    • The next available tentative status will be displayed, and is the status that will be assigned to the space.
    • A green check and T1 shows that no other events are booked in that space on that date/time. If the space is highlighted yellow, there are other tentatives, and if the space is highlighted red there are definite events.
    • A room already booked for the event on that date/time will be grayed out and cannot be selected.
  6. Click Save.
  7. The additional dates and rooms have been added to your event.
